Privacy policy

Khien Travels provides professional visa application support. This policy explains, in plain English, how we collect, use, store, and protect information when you use our platform, and it is prepared with reference to Nigeria's Data Protection Act, 2023 (NDPA).

Depending on how you use Khien Travels, we may collect:

• Account information, such as your name, email address, and authentication-related details.
• Customer and traveler profile information you provide.
• Visa application details, including destination and application type.
• Nationality and other travel-related information where you supply it.
• Uploaded documents and files, which may include passport, travel, identity, or other supporting documents.
• Application status and review records created as staff work on your case.
• Communication metadata and log records related to your application (see Section 6).
• Technical and security logs required to operate the service reliably and safely.

We do not collect or store payment card data ourselves: when a payment is needed, you pay through our payment processor's (Paystack) own secure checkout page, and we never see or store your card details (see the Terms of Service for details).

We may use the information above to:

• Create and manage your account.
• Support visa application assistance workflows, including tracking and status updates.
• Allow authorized staff to review your documents and application status.
• Maintain audit and security records for the operation of the service.
• Provide customer support.
• Operate, maintain, and improve the service.

We do not use marketing analytics, advertising, or third-party tracking tools at this time.

Documents you upload are stored using AWS-backed infrastructure. Access to your account and documents is controlled through authenticated user roles and account-level scoping, so your information is not visible to other customers.

Staff access to customer documents and application data is limited to what is needed to review applications, provide support, and maintain the service. Storage for documents uses server-side encryption provided by our cloud infrastructure provider.

Your information may be accessed by:

• You, as the customer or account holder.
• Authorized Khien Travels staff and administrators who need access to deliver the service, provide support, review applications, or maintain security.
• Our infrastructure provider (Amazon Web Services), which hosts our systems and storage.
• Legal or regulatory authorities, but only where required by law.

We do not share your information with other third-party vendors beyond what is described here.

Khien Travels keeps a communication log related to your application. This log is currently metadata-only — it records that a communication or update occurred, not the full content of every message. It is not a live chat system or a full message-body storage system, and we do not currently send automated outbound SMS or email communications through it.

Khien Travels uses session and authentication-related cookies or tokens to keep you signed in and to help secure your account. We do not use marketing or advertising tracking technologies, and we have not implemented a cookie-consent system at this stage because no non-essential tracking is in place.

Consistent with the NDPA, you may request access to, correction of, or deletion of your information by contacting us through our Contact page. We do not currently offer a self-service deletion flow.

Requests may be subject to identity verification, applicable legal requirements, security needs, and our operational recordkeeping obligations (for example, records related to an in-progress visa application review).

Khien Travels is not intended for use by children on their own. If a minor's information is part of a visa application, it should be submitted and managed by a parent or guardian on the minor's behalf.

We may update this policy from time to time. When we do, the latest version will be posted on this page.
